1. Who we are
Ragencia SAS (SIREN 941 070 492, RCS Nice), 35 Rue Pastorelli, 06000 Nice, France, operates Resavoice, a voice-AI phone booking assistant for hotels. Contact: developer@ragencia.com.
2. Our role
When a hotel (“Customer”) uses Resavoice, Ragencia acts as a data processor on the Customer’s instructions with respect to guest personal data collected during a call (name, phone number, email, stay dates, room preferences, and, where the Customer enables it, a call recording and transcript). The Customer is the data controller for its guests’ data. A Data Processing Agreement (DPA) is available on request and governs this relationship in detail.
Ragencia is also a data controller in its own right for data it collects directly, such as the contact details of Customer staff who use the Resavoice dashboard, and website analytics.
3. What we process, and why
- Guest data (name, phone number, email, requested dates, room/rate preferences, call recording and transcript where enabled): to answer the call, quote availability and price, and create the reservation in the Customer’s PMS.
- Customer account data (staff name, email, dashboard activity): to operate and secure the Customer’s account and provide support.
- Website visitor data (basic analytics, contact-form submissions): to respond to enquiries and understand site usage.
4. Retention
Guest call data (recordings, transcripts, and associated booking details) is retained for as long as reasonably necessary to provide the service to the Customer, or as required by applicable law, and is deleted or anonymized once no longer needed for those purposes. A Customer may request earlier deletion of specific guest data at any time via developer@ragencia.com.
5. Sub-processors
Ragencia uses a limited number of infrastructure sub-processors to operate Resavoice, including cloud hosting providers, telephony/SMS providers, and AI model providers. All sub-processors are bound by data processing terms consistent with the GDPR. A current list of sub-processors is available on request.
6. International transfers
Where a sub-processor is located outside the European Economic Area, Ragencia relies on appropriate safeguards recognized under the GDPR (such as the European Commission’s Standard Contractual Clauses) to protect the transferred data.
7. Your rights
Under the GDPR, individuals whose data we process have the right to access, correct, delete, or restrict processing of their personal data, the right to data portability, and the right to object to processing. Guests should generally direct these requests to the hotel they contacted (the data controller); Ragencia will assist the Customer in fulfilling such requests. Requests can also be sent directly to developer@ragencia.com and will be routed accordingly. You also have the right to lodge a complaint with the French data protection authority (CNIL) or your local supervisory authority.
8. Security
Ragencia applies reasonable technical and organizational measures to protect personal data against unauthorized access, loss, or misuse, proportionate to the nature of the data processed.
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be notified to active Customers at least 30 days before taking effect.
